Access time cards directly from the Time Cards section of your Web Portal for accurate time tracking. Add, edit, and remove punches, benefits, and breaks to maintain precise records.
To complete the steps in this article, you must be an administrator or have the necessary view and/or edit permissions enabled. If you believe you should be able to complete the steps and are not able to, reach out to your account administrator to discuss updating the settings for your Role.
The weekly overtime will always show on the last day of the work week. If you have a semi-monthly or monthly pay period, your weekly overtime will not always coincide with the end of the pay period.
View time cards in the web portal:
- Log into the Citadel web portal.
- Select Time Cards from the side menu.
- Click on the name of the user's time card you want to view.
- Use the < and > icons next to the pay period at the top of the screen to scroll between pay periods.
Add punches to a time card:
Adding rest and meal breaks is dependent on the user's Break policy.
- Log into the Citadel web portal.
- Select Time Cards from the side menu.
- Click on the name of the user's time card you want to edit.
- Scroll to the correct pay period using the < or > icon next to the displayed pay period.
- Click the + icon on the line for the intended date to add a punch to the timecard.
- Select the Punch Type from the dropdown list:
- In/Out
- Meal
- Rest
- Add the In and Out punch time.
- If the Time Format for the account is set to "12 Hour" enter the time in 12 Hour format (AM/PM).
- If the Time Format is set to "24 Hour", enter the time in 24 hour format (HH:MM).
- Optional: Add a note in the Notes section.
- Click the Checkmark to save the changes or the x to cancel.
- Scroll to the top of the screen and recalculate the time card using the recalculate button.
Edit punches on a time card:
- Log into the Citadel web portal.
- Select Time Cards from the side menu.
- Click on the name of the user's time card you want to edit.
- Scroll to the correct pay period using the < or > icon next to the displayed pay period.
- Hover the mouse over the punch you want to edit and click the Edit icon.
- Update the punch.
- Optional: Add a note in the Notes section.
- Click the Checkmark to save the changes or the x to cancel.
- Scroll to the top of the screen and recalculate the time card using the recalculate button.
Remove punches from a time card:
- Log into the Citadel web portal.
- Select Time Cards from the side menu.
- Click on the name of the user's time card you want to edit.
- Scroll to the correct pay period using the < or > icon next to the displayed pay period.
- Hover the mouse over the punch you want to remove and click the Edit icon.
- Click the Trashcan icon to delete the punches. This will remove all history of the punch and cannot be undone.
- Scroll to the top of the screen and recalculate the time card using the recalculate button.
Add benefits or accruals to a time card:
The pay codes available will be dependent on the user's Accrual policy.
- Log into the Citadel web portal.
- Select Time Cards from the side menu.
- Click on the name of the user's time card you want to edit.
- Scroll to the correct pay period using the < or > icon next to the displayed pay period.
- Click the + icon on the line for the intended date to add an event to the timecard.
- Select Benefit as the Punch Type from the dropdown list.
- Select the Pay Code from the dropdown list.
- Add the Duration in hours and minutes.
- Optional: Add a note in the Notes section.
- Click the Checkmark to save the changes or the x to cancel.
- Scroll to the top of the screen and recalculate the time card using the recalculate button.
Edit benefits or accruals on a time card:
- Log into the Citadel web portal.
- Select Time Cards from the side menu.
- Click on the name of the user's time card you want to edit.
- Scroll to the correct pay period using the < or > icon next to the displayed pay period.
- Hover the mouse over the pay code of the benefit you want to edit and click the Edit icon.
- Update the Pay Code and/or the Duration.
- Optional: Add a note in the Notes section.
- Click the Checkmark to save the changes or the x to cancel.
- Scroll to the top of the screen and recalculate the time card using the recalculate button.
Remove benefits or accruals from a time card:
- Select Time Cards from the side menu.
- Click on the name of the user's time card you want to edit.
- Scroll to the correct pay period using the < or > icon next to the displayed pay period.
- Hover the mouse over the pay code of the benefit you want to edit and click the Edit icon.
- Click the Trashcan icon to delete the benefit. This will remove all history and cannot be undone.
- Scroll to the top of the screen and recalculate the time card using the recalculate button.
